Sound familiar?

Most HOA boards run on a 300-page PDF, vague verbal updates, and hope. That's how projects stall and meetings drag.

The three-hour meeting

Half the meeting is spent scrolling a PDF to find one bid or last month's update. Discussion time gets eaten by context hunting.

The stalled project

The fence repair approved in March still isn't started in July. The manager points at the vendor, the vendor points back, and nothing moves.

The black box

Between meetings the board can't see what's actually happening. Updates arrive as vague verbal reports — if they arrive at all.

A ledger, not a filing cabinet

Quorum is built around one idea: every project has a responsible party and a clock. Everything else supports that.

The project ledger

Every project has an owner — and a clock.

Each project shows who it's waiting on — Board, Property Manager, Vendor, or Homeowner — and exactly how long they've had it. Group the ledger by owner to see where everything sits at a glance.

  • Responsible party on every project, front and center
  • "Time in state" counts the days the current owner has held it
  • Filter and group by owner, status, or due date

Stall alerts

Nothing hides for more than two weeks.

Any project that sits with the same responsible party for 14 days turns red and rises to the top of the ledger. Your board sees the biggest problems first — before the meeting, not during it.

  • Automatic red flag at day 14 with no hand-off or resolution
  • Stalled items sort to the top by default, so problems can't be buried
  • Color plus a clear "Stalled" label — obvious at a glance

Project history

History that ends arguments.

Open any project to see its full story: every comment, every hand-off, every ownership change — logged with who did it and when. Board members can drop pre-meeting questions right on the project.

  • Comment threads keep discussion attached to the work
  • An automatic audit timeline records every change
  • Drop links to bids, invoices, and docs right in the thread

Board packets & meeting mode

Run the meeting from one screen.

Upload the monthly packet, build a clickable table of contents, and tag the bid pages to the jobs they cover. In the meeting, everything is one click away — no more "give me a minute to find that page."

  • Clickable table of contents over the packet PDF
  • Bid pages tagged by job for side-by-side comparison
  • Meeting mode keeps the whole room on the same page

Built for boards. Easy for managers.

Everyone gets the view that matches their job — and every community's data is fully isolated and access-controlled.

Board member

See everything, instantly

Full visibility into every project, balance, and packet. Open the ledger before the meeting and know exactly what's stuck and who has it.

Property manager

Update in minutes, not meetings

A personal queue shows exactly what needs a status. Quick updates between meetings replace the barrage of "any news on…?" emails.

Management staff

Pitch in without the pileup

Accounting and admin staff can enter balances and updates directly, so nothing bottlenecks on one person's inbox.

How a month with Quorum works

Quorum wraps around the meeting cycle your board already has — it just removes the fog.

The manager keeps the ledger current

Status changes, hand-offs to vendors, and the monthly packet go into Quorum as they happen — each update takes seconds.

The board glances before the meeting

Five minutes with the ledger shows what moved, what stalled, and who's holding it. Members can drop questions on projects ahead of time.

The meeting runs off the ledger

Skip the routine, focus on the exceptions. Bids and history are one click away, and decisions get an owner and due date on the spot.

Between meetings, nothing hides

Everyone can see who owes what. A project that sits too long turns red and rises to the top at day 14 — long before it becomes next month's argument.

Questions boards ask us

What exactly is Quorum?
A web app for HOA boards that tracks every community project with a named responsible party and a running clock — plus a reader for the monthly board packet with a clickable table of contents and tagged bids. The whole board sees the same live picture from a laptop, tablet, or phone.
Who is it for?
Volunteer HOA boards, first and foremost. Unlike the software your management company uses — which is built for their back office — Quorum is built for the board's side of the table: visibility, accountability, and shorter meetings.
Does our property manager have to use it?
It works best when they do, and it's deliberately low-friction for them — updating a status takes seconds, and their personal queue shows exactly what needs attention. Most boards simply make ledger updates part of the monthly expectation, the same way the packet is today. Even the act of the board watching tends to change how fast things move.
Is our community's data private?
Yes. Every community's data is isolated — access requires an invited account, roles control who can change what, and every change is recorded in an immutable audit log. Data is encrypted in transit.
What does it cost?
Right now, nothing — we're onboarding a small number of pilot boards for free while we refine the product with real communities. Pilot boards get direct access to the founder and a say in what gets built next.
How do we get started?
Email demo@quorum.andrewmehta.com. We'll walk your board through a live demo and, if it's a fit, set your community up — usually within a week.
